What is Contact Management : Contact management is the process of storing and tracking data on customers and leads. In addition to providing quick access to customer data, investing in contact management can help you grow and diversify your customer base. Upgrading to customer relationship management software can provide advanced data that allows you to increase engagement between your company and its customers.
Contact Management in Odoo : For managing our corporate contacts, we can rely on a variety of tools. Many companies still use outdated methods for this, such as Excel lists, email clients or other rigid databases. Managing contact of customers, vendors, sub-contractors and many other categories of people will be required to ensure the smooth operation of a business. Odoo helps us to manage our contacts in an easy going manner, that’s why there is a separate module in Odoo which is Contact Management Module.
The best thing about the contact module is its configuration. Through this user can configure the contact module according to their company needs. There are lots of options available in the Contacts module such as contact tags, contact titles, Industries, Country, Fed. States, Country Groups, Banks and Bank accounts.
Above screenshot is the dashboard of the contacts module. As you can see there are two tabs on the top of the dashboard such as contacts and configuration. You can see the create button, with the help of the create button you can create a new contact. Above image is the kanban view of the dashboard of the contacts module.
Above screenshot is the list view of the dashboard of the contacts module. You can see the details in the list view such as Name of the employee, phone number, email id, salesperson, next activity, city, country and company name. You can see the filters and Group By options on the top of the dashboard.
Filters : When you click on the filter then you can see the various options inside the drop down menu. With the help of the filter option you can filter the contacts on the basis of Individuals, company, Customer Invoices, Vendor Bills, Archived and you can create more options with the help of “Add custom filter. For reference you can see the screenshot below.
Group By : You can group by the contacts with the help of the group by option. When you click on the group by option then you can see the various options under the drop down menu such as Salesperson, company, country and you can create more options with the help of “Add custom group. For reference you can see the screenshot below.
Contact Tags : You can find the Contact Tags option under the configuration tab. When you click on the configuration tab then you can see the various options under the drop down menu and you can select contact tags from there as shown in the screenshot below.
When you click on the contact tags then a new window will appear.
Above screenshot is the list of contacts tags which are already created. You can group various contacts in a similar label with the help of the Contact Tags. You can see the display name and color in the contact tags window. When you click on any of the tags then you can see the certain details about the particular contact tag. And if you want to create a new contact tag then you can do this with the help of the “create button”. Let’s create a new contact tag and click on the create button and you will come to the new window.
You can see some fields in the above screenshot. You have to mention the tag name and parent category. For the parent category you can select from the drop down list such as Consulting service, Vendor/Desk manufacturers, Employees, Vendor/Office supplies, prospects, Services and vendor. For example, the tag name mentioned as consulting services and parent category is vendor / office supplies. You can choose any color for your choice and save the form.
Highlighted portion of the above screenshot is the contact tag which I have recently created. Now we will see how you can use the Contact Tag when developing a new Contact for a company. To see this functionality let’s create a new contact.
From the above screenshot you can see the tags option in the bottom of the contacts window. Now you can select the tag option from the drop down menu of the tags field as you can see in the highlighted part.
Contact Titles : You should mention the contact title when you save the contact information about the person. All these led to communicating with that individual efficiently and calling in any situation. You can select the contact titles option under the configuration tab. And you can configure the contact title according to your company needs. When you click on the contact titles under the drop down menu of configuration, you will come to the new window. For reference you can see the screenshot below.
From the above screenshot you can see the list of contact titles which are already created. You can see the title name and abbreviation with respective titles. You can create a new contact title also with the help of the create button. When you click on the create button.
As you can see in the above image, a new line will appear at the end of the last title. You can mention the title here and also mention the abbreviation with this title. When you create a new title then you can click on the save button and you can use this title while creating a new contact. For reference you can see the screenshot below.
Industries : When you click on the configuration menu then you can select the industries option from the drop down menu.
In the above screenshot you can see the list of industries which are already created with the name and full name. If you want to make a new entry in industries then you can click on the create button. When you click on the create button then you can see that a new space shows at the end of the window and you can insert name and full name. And after all this click on the save button. This is how you can create new industries. For reference you can see the screenshot below.
